Festival and Large Event Restroom Planning: A Guide for Organizers

Organizing a festival, fair, or large-scale event means thinking in volumes that most event planners never deal with. When you’re expecting 500, 1,000, or 5,000+ attendees over one or more days, restroom planning moves from a line item on your checklist to a critical infrastructure decision. Get it wrong and it’s the number one complaint on social media. Get it right and nobody thinks about it — which is exactly the goal. Here’s what festival and large event organizers need to know about restroom planning.

Calculating Restroom Capacity for Large Events

The standard industry rule of thumb is one restroom per 50–75 guests for a 4–6 hour event. But festivals are different — attendees are eating, drinking (often alcohol), and spending all day on-site. For a full-day festival, plan closer to one restroom per 40–50 attendees. Here’s how that breaks down with Throne Ranger’s fleet:
  • 200 attendees: A King (10 stations) covers you comfortably
  • 350–400 attendees: A King plus a Queen (16 total stations) is ideal

For multi-day festivals, the per-day count matters less than peak concurrent attendance. If your festival runs Friday through Sunday with 1,000 attendees per day but only 400 on-site at any given time, plan for the 400 peak — not the 1,000 total.

Strategic Placement Matters

At a large event, where you place restrooms is just as important as how many you have:
  • Distribute units across the venue rather than clustering them in one spot
  • Place restrooms near high-traffic areas like food courts, beer gardens, and main stages
  • Ensure at least one ADA-accessible unit is on accessible terrain with a clear path from the main event area
  • Keep trailers accessible to service vehicles for mid-event pumping without disrupting attendees
  • Consider traffic flow — don’t place restrooms where lines will block walkways or vendor booths
